Guide for Photographers
A practical walkthrough of Onie Studio tailored to the photography workflow — from first inquiry to final gallery delivery.
Your Typical Workflow
Inquiry → Quote → Contract + Deposit Invoice → Session → Final Invoice → Gallery Delivery
Onie Studio supports every step.
Step 1: Capturing Inquiries
When a new inquiry comes in:
- Create a Client with their name, email, and wedding/shoot date
- Set their status to Lead
- Add notes about what they're looking for
Step 2: Sending a Quote
Before committing to a price, send a quote:
- Go to the client → Create Quote
- Add your packages (e.g., "Full Day Coverage — $2,500")
- Add optional add-ons (second shooter, albums, prints)
- Set an expiry date (7 or 14 days is common)
- Click Send
Step 3: Booking with Contract + Deposit
When the client accepts the quote:
- Convert the quote to an invoice — set it as a deposit (e.g., 50% due now)
- Create a contract using your wedding or portrait template
- Send both at once — client signs the contract and pays the deposit
Step 4: Session Day
The session is in your calendar. On the day:
- Mark the session status as In Progress
- Add any notes about the day
Step 5: Final Invoice & Delivery
After the session:
- Create the final invoice for the remaining balance
- Once paid, use File Delivery to share the gallery link or ZIP file
- Mark the session as Delivered
Workflow Automation Suggestions
Set up these workflows to save time:
- After booking confirmed → send a session preparation guide email (3 days before)
- After session → send a thank-you + request for review (2 days after)
- After gallery delivered → send a "your gallery is ready!" email
