Workflow Builder

Build multi-step automation workflows to handle repetitive tasks — so you can focus on your creative work.

What is a Workflow?

A Workflow is a sequence of automated actions triggered by an event in your business. For example:

  • When a new booking is confirmed → send a welcome email → create a contract → add a time block to your calendar
  • When an invoice is paid → send a thank-you email → mark the session as active
  • When a session date is 7 days away → send a reminder email → create a preparation checklist task

Creating a Workflow

  1. Go to Workflows → New Workflow
  2. Choose a Trigger (the event that starts the workflow)
  3. Add Steps — each step is an action taken after the trigger
  4. Set delays between steps if needed (e.g., "wait 3 days, then send email")
  5. Give your workflow a name and click Save & Activate

Workflow Templates

Onie Studio includes pre-built workflow templates for common creative workflows:

  • New Booking Onboarding — Contract → Invoice → Welcome Email
  • Post-Session Follow-up — Gallery delivery reminder → Review request
  • Payment Reminder Sequence — 3-day, 7-day, and 14-day overdue reminders

You can use these as-is or customize them to fit your process.

Audit Log

Every workflow execution is logged in the Workflow Audit Log so you can see exactly what ran, when, and for which client.
