Workflow Builder
Build multi-step automation workflows to handle repetitive tasks — so you can focus on your creative work.
What is a Workflow?
A Workflow is a sequence of automated actions triggered by an event in your business. For example:
- When a new booking is confirmed → send a welcome email → create a contract → add a time block to your calendar
- When an invoice is paid → send a thank-you email → mark the session as active
- When a session date is 7 days away → send a reminder email → create a preparation checklist task
Creating a Workflow
- Go to Workflows → New Workflow
- Choose a Trigger (the event that starts the workflow)
- Add Steps — each step is an action taken after the trigger
- Set delays between steps if needed (e.g., "wait 3 days, then send email")
- Give your workflow a name and click Save & Activate
Triggers
| Trigger | Description |
|---|---|
| Session Created | A new session is added |
| Session Status Changed | Session moves to a new status |
| Invoice Paid | Full payment received |
| Contract Signed | Client signs the contract |
| Session Date Approaching | X days before the session |
| Manual | Triggered manually from a session |
Step Types
| Step | What it Does |
|---|---|
| Send Email | Sends a template email to the client |
| Create Task | Adds a task to your to-do list |
| Add Note | Appends a note to the session |
| Change Session Status | Moves the session to a new status |
| Wait | Delays before the next step (e.g., 3 days) |
Workflow Templates
Onie Studio includes pre-built workflow templates for common creative workflows:
- New Booking Onboarding — Contract → Invoice → Welcome Email
- Post-Session Follow-up — Gallery delivery reminder → Review request
- Payment Reminder Sequence — 3-day, 7-day, and 14-day overdue reminders
You can use these as-is or customize them to fit your process.
Audit Log
Every workflow execution is logged in the Workflow Audit Log so you can see exactly what ran, when, and for which client.
